Organising campaigns into campaign groups

Campaign groups are available on the Plus and Silent Auction plans.

What campaign groups are

Campaign groups work like folders for your campaigns. You might make one group for each region, for example North and South, and put a sub-group such as Leeds inside North.

  • A group's totals add up everything inside it, including its sub-groups.
  • You can give a group a target and track progress towards it.
  • Each campaign can only be in one group at a time.
  • QR + Card Reader, Community and Silent Auction each have their own groups. You can't mix campaign types in one group.

Campaign groups also make it easier to control who sees what. You can add a whole campaign group to an access group, so a team only sees the campaigns in their region. See Organising team access with access groups.

Who it's for: charity staff with Administrator access. Only Administrators can create, change, move or delete groups. Other team members can see groups and their totals, but only for the campaigns they're allowed to see.

Find your groups

Groups show at the top of your campaign lists: QR + Card Reader > Campaigns, Community Fundraising and Silent Auction. Each group has a Group label and shows how many groups and campaigns are inside it. Click the arrow next to a group to open it and see what's inside.

  • Open takes you to the group page (see below).
  • Edit opens the group's settings. On Community and Silent Auction cards this button is called Edit group.

Create a group

  1. Go to the campaign list you want, for example QR + Card Reader > Campaigns.
  2. Click Create group at the top of the page.
  3. Fill in the details (see below).
  4. Click Create group.

The Create group window with a group name, a target, a reference and two campaigns ticked

  • Group name: for example 'North West'.
  • Inside: leave this as No parent group (top level), or choose a group to make this a sub-group.
  • Target (optional): the amount you want the group to raise.
  • Reference (optional): your own code for the group, up to 50 characters.
  • Add campaigns (optional): search for campaigns and tick the ones to put in the group. If a campaign you tick is already in another group, you'll see a message saying it will move. Totals and access follow the move.

Add a sub-group

To put a group inside another group, either choose the parent group under Inside when you create it, or open the parent group's page and click Add sub-group.

Move a campaign into a group

  1. Find the campaign in the list.
  2. On QR + Card Reader, click the … menu and choose Move to group. On Community and Silent Auction, click Move to group on the campaign card.
  3. Under Move to, choose the group. Choose No group to take the campaign out of all groups.
  4. Click Move.

The Move to group window, moving a campaign from North to South

The campaign's totals now count towards its new group. Team members who can see the new group through an access group can now see the campaign. Team members who could only see it through the old group can't see it any more.

You can also move a campaign from the group page, using Move next to it in the In this group table.

On Community Fundraising, the buttons sit on each campaign card:

Edit, archive or delete a group

Click Edit next to the group in the list, or Edit group on the group page. You can change the name, where the group sits, the target and the reference. Click Save changes when you're done.

  • Archive group hides the group and everything in it from your active list. Its campaigns stay live, so donors can still give. To bring it back, edit the group and click Restore group.
  • Delete group removes the group but no campaigns are deleted. Its campaigns and sub-groups move up one level, to the parent group or the top level. You'll be asked to confirm first.

The Edit group window asking you to confirm deleting the North group

If an access group includes the group you're deleting, the message tells you. The group is removed from that access group, so its members lose the access it gave them.

The group page

Click Open next to a group to see its page.

The North group page with totals, the target bar and the Insights card

  • Totals: total raised, donations, Gift Aid value and, for QR + Card Reader, views to donation rate. These include every campaign and sub-group inside the group.
  • Target: if you set one, a bar shows how much has been raised against it.
  • From and To (QR + Card Reader only): choose dates to see totals for that period. Views are only counted for all time, so views and the views to donation rate are hidden while dates are set. Click Clear to go back to all time.

Insights (QR + Card Reader only)

Click Show insights to see more about how people give to the group's campaigns. This includes average and largest donation, online against in person, payment types, donation sizes, Gift Aid take-up, the busiest days and times, active and quiet campaigns, and top collectors. Figures are brought up to date every five minutes.

In this group, Who can see this group and Activity

The In this group table, the Who can see this group card and the Activity list

  • In this group: each sub-group and campaign, with what it has raised, its donations, Gift Aid, views and share of the total.
  • Who can see this group: which access groups include this group and how many team members that covers. Admins and anyone with full access can always see it. Click Manage access groups to change this.
  • Activity (admins only): a record of changes made to the group.

Set up groups from a CSV file

If you have lots of groups to set up, you can import them from a spreadsheet saved as a CSV file.

  1. On the campaign list, click the upload button next to Create group.
  2. Click Download the template. You can also click Download your campaigns to get each campaign's ID and the group it's in now.
  3. Add one row for each group, then save the file as a CSV.
  4. Drop the file into the window, or click to choose it.
  5. Check the review. It shows how many rows are ready and any warnings or errors, and what the file will change. Nothing is saved until you apply the changes.
  6. Click Apply (the button shows how many changes the file makes) to save them.

The Import campaign groups window with the Download the template and Download your campaigns buttons

The template has these columns:

  • area: qr, community or auction.
  • group_path: the group's name, with levels separated by >, for example North > Leeds.
  • external_id (optional): your own reference for the group.
  • target (optional): the group's target.
  • campaign_ids: the IDs of the campaigns to put in the group, separated by semicolons.

Rows with errors are skipped. You can download them, correct them and upload them again. Importing the same file again changes nothing, so it's safe to try again. Large files can carry on in the background. You'll get an email when it's finished.

Use groups in reports

When you run or schedule a report, click the Campaigns button to choose what it covers. Turn off All campaigns, then tick a campaign group to include everything in it, now and as campaigns are added. Tick single campaigns for anything else. See Reports: Export Your Data.

Troubleshooting

  • I can't see Create group. Only Administrators can create groups, and your plan needs to include campaign groups (Plus or Silent Auction).
  • A campaign is in the wrong group. Use Move to group. Its totals move with it.
  • A team member can't see a campaign after I moved it. They may have had access through the old group. Check their access groups in Settings > Team.
  • I can't delete a group. If a sub-group has the same name as a group it would move next to, rename one of them first.
