Reports: Export Your Data

This guide shows you how to export your charity's data from GiveTap as CSV files. The Reports area is split into separate types, and you switch between them using the tabs at the top: Payments Reports, Fundraiser & Ticket Reports, Silent Auction Reports (shown only when silent auctions are enabled for you), Gift Aid Reports (for UK based charities), and Email Subscribers. Each report type produces its own set of columns, so the data you get back depends on which tab you are on. For Payments, Fundraiser & Ticket and Silent Auction reports you choose a date range, generate the report, and then download it. Important: report generation is asynchronous. When you click Generate Report a new row appears in the table for that type, and you then download the CSV by clicking that row. The CSV is not produced instantly in your browser, so you may need to wait a moment and refresh before the row is ready to download.

Before you start

  • You are signed in to the GiveTap portal as an admin (some actions, such as Delete Report, are only available to admin-level users).
  • Your organisation has data to export, for example donations, fundraisers, ticket buyers, silent auction bids, or email subscribers, within the date range you want.
  • You know the date range you need, as you will set a Start Date and an End Date for most report types.

Generate a report

Open Reports from the dashboard. You will be taken straight to the Payments Reports tab, which is the default.

Use the tabs at the top of the page to pick the report type you want. The tabs are: Payments Reports, Fundraiser & Ticket Reports, Silent Auction Reports, Gift Aid Reports, and Email Subscribers.

Note: Silent Auction Reports only appears if silent auctions are enabled for your account, and Gift Aid Reports only appears for charities in the UK. If you do not see a tab, that report type is not available to you.

Enter the Start and End date and click ‘generate report’. Some reports, such as Payments or Fundraiser & Ticket, will reveal a pop-up with a choice of fields to choose from. Select the fields you would like to see and export.

The reports generated will be in CSV format. You can then click the report name to download the report or you can delete the report by clicking the ‘delete report’ button. 

Deleting reports

Reports can be deleted and regenerated at any point. You can delete reports individually or in bulk using the tickboxes to the left of the reports.

Note: Delete Report on an individual row is only shown to admin-level users. Deleting a report removes it from the list; it does not delete any of your underlying donation or fundraiser data.

You're done when…

  • After clicking Generate Report, a new report row appears in the generated reports table for that type.
  • Clicking the report name in a row downloads its CSV file to your computer.
  • The columns in each downloaded CSV match the report type you generated.
  • Clicking Delete Report or Bulk delete removes the selected rows from the table.
  • On the Email Subscribers tab, clicking Download Email Subscribers CSV downloads your subscriber list.
