Billing
Your billing area is where you look after your GiveTap subscription. From here you can see which plan you are currently on, compare the Flexi, Plus and Silent Auction plans, switch between monthly and annual pricing, and upgrade or downgrade whenever your needs change. You can also keep the card you pay with up to date, browse your past invoices, and look back over your subscription history. This guide stays focused on the Billing area itself. Your platform fees and your VAT settings live in a separate area at /settings/vat and are covered by a different guide, so please do not confuse the two.
A couple of things are worth knowing up front: the Payment Details tab only appears once your charity is subscribed to a paid plan, and the prices shown on the Plan tab are always quoted plus VAT (for example, Plus is £29.99 per month or £299.99 per year in GBP). If a subscription payment ever fails, GiveTap pauses your plan and shows you a clear prompt to update your payment details so you can get everything running again.
Before you start
- You are signed in to the GiveTap charity dashboard as an Administrator. Billing settings are intended for charity admins.
- If you plan to upgrade or change your card, have a valid payment card ready before you start.
- Keep in mind this guide covers the Billing area only. Platform fees and VAT settings are managed separately
- The Payment Details tab only shows once your charity is subscribed to a paid plan, so on the free Flexi plan you will not see it.
Steps
- Open your billing area by going to Settings, then Billing. Along the top of the billing area you will see the tabs 'Plan', 'Invoices', 'Payment Details' (only when you are subscribed) and 'Subscription Log'.
Note: If you cannot see the Billing section, your account may not have Administrator access. Ask a colleague who is an Administrator, or contact GiveTap support.
- On the 'Plan' tab, find your current plan. The plan you are on shows a 'Current Plan' badge at the top of its card. The three plans are 'Flexi', 'Plus' and 'Silent Auction', and each card lists its price and the features it includes.
- Compare the plans by reading down each card. 'Flexi' is the commitment-free starter plan with no monthly charge. 'Plus' adds extras such as donor fee cover, bulk Gift Aid submissions to HMRC and API access. 'Silent Auction' includes everything in Plus plus unlimited silent auctions and event support.
Note: All prices on this tab are shown plus VAT. For example, in GBP the Plus plan reads '29.99 + VAT per month' or '299.99 + VAT per year', and Silent Auction reads '999.99 + VAT per year'.
- On the 'Plus' card, choose how often you want to pay using the 'Monthly' and 'Annual' toggle. Click 'Monthly' to see the monthly price or 'Annual' to see the yearly price. The price above the toggle updates as you switch.
Tip: Annual billing works out cheaper. Hovering over the 'Annual' option shows the note 'Two months free vs monthly'.
- Change your subscription by clicking the button on the plan you want. To move up to a higher plan, click 'Upgrade'. To move down to a lower plan, click 'Downgrade'. A confirmation window will appear asking you to confirm the change before anything happens.
Warning: A downgrade does not take effect immediately. The confirmation window tells you the exact date your access will change (for example 'you will lose access to your Plus features on Friday 31/07/2026'), and you keep your current features until then. If you change your mind, you can choose to stay on your current plan.
- Keep your payment card up to date on the 'Payment Details' tab (this tab only appears once you are subscribed). Under the heading 'Update your card' you will see a line reading 'The card currently saved ends in' followed by the last four digits of your saved card.
Note: If you are on the free Flexi plan and have never subscribed, the 'Payment Details' tab will not be shown at all. This is normal.
- To change your card, type your new card details into the card field on the 'Payment Details' tab, then click 'Update'. The card field is provided securely by Stripe, GiveTap's payment provider, and is the same kind of field you see at other online checkouts.
- View your past invoices on the 'Invoices' tab. Under the 'Invoices' heading you will see a table with the columns 'Invoice Date', 'Product', 'Billing Cycle', 'Amount Paid' and 'VAT', followed by a column with a 'View' button on each row.
Note: If you have no invoices yet, the page shows the message 'You don't currently have any invoices.' instead of the table.
- Open any invoice by clicking the 'View' button on its row in the last column. GiveTap fetches the invoice for you to open or download. While it loads you may briefly see a small spinning icon next to the word 'View'.
- Review your subscription history on the 'Subscription Log' tab. This shows a record of the changes made to your subscription over time, so you can see when you upgraded, downgraded or switched billing cycles.
- If a payment ever fails, watch for the paused-payment notice. When a subscription payment does not go through, GiveTap pauses your plan and shows a red banner on the 'Plan' tab reading 'Your subscription has been paused due to failed payment. Please update your card to resume and unlock your plan's features.' Click the 'Update Payment Details' button on that banner to fix it.
Warning: While your subscription is paused you lose access to your paid plan's features until a working card is saved. The 'Update Payment Details' button takes you straight to the 'Payment Details' tab so you can enter a new card and resume your plan.
You're done when…
- You can reach the billing area and move between the 'Plan', 'Invoices', 'Payment Details' (when subscribed) and 'Subscription Log' tabs.
- On the 'Plan' tab you can identify your 'Current Plan' badge, compare Flexi, Plus and Silent Auction, switch between 'Monthly' and 'Annual' pricing, and start an 'Upgrade' or 'Downgrade'.
- You understand that prices are shown plus VAT and that a downgrade takes effect on a stated future date rather than straight away.
- On the 'Payment Details' tab you can see the last four digits of your saved card and update it by entering new card details and clicking 'Update'.
- On the 'Invoices' tab you can read the table columns and open an invoice with the 'View' button, and you can review past changes on the 'Subscription Log' tab.
- You know that a failed payment pauses your plan and that the 'Update Payment Details' prompt restores it once a working card is saved.
