Bulk Gift Aid submissions to HMRC

GiveTap’s Bulk Gift Aid tool makes it easy for charities to collect, manage, and submit Gift Aid claims to HMRC in bulk – saving time and ensuring compliance. Here's how to set it up and use it effectively.

Who it’s for: admins at UK charities registered for Gift Aid with HMRC.

Your donors’ Gift Aid declaration wording is set separately, in Settings > Declarations.

Step 1: Set Up Your HMRC Submission Details

Before submitting a claim, you must enter your organisation’s HMRC credentials.

  1. Go to Gift Aid in the side menu.

Click the Settings tab at the top (Gift Aid > Settings).

Complete the following fields exactly as registered with HMRC:

    • Organisation/Charity Name
    • Charity Regulator (e.g. CCEW)
    • Charity Registration Number
    • HMRC Reference Number
    • HMRC User ID
    • HMRC Password
    • Authorised Official’s Title, Name, Postcode, and Phone Number

🔒 Important: These details must match those held by HMRC exactly, including capitalisation and spacing, or your claim may be rejected.

The Settings section of the tool allows you to configure your organisation's and authorised official's details

Step 2: Review Unclaimed Donations

  1. From the Gift Aid section, go to the Unclaimed tab.

You will see a list of donations that may be eligible for Gift Aid.

    Each row includes:

    • Donation date and amount
    • Donor details
    • Hardware used (e.g., stripe_reader_s700  , stripe_tap_to_pay  )
    • Options to Edit, Move to ready to claim, or Mark as 'Won’t claim'

Use the checkboxes or the 'Select all' function to bulk select donations and move them to the next stage.

Step 3: Mark Donations as ‘Ready to Claim’

Once you’ve reviewed eligible donations:

  1. Select the donations you want to include in your claim.
  2. Click “Move to ready to claim” to batch them for submission.
  3. They will now appear under the Ready to claim tab.

Step 4: Submit Your Gift Aid Claim to HMRC

  1. Navigate to the Ready to claim tab.
  2. Confirm the donations listed are correct.
  3. Click “Submit to HMRC” (button appears once your HMRC credentials are entered correctly).
  4. The system will automatically send your claim through the HMRC Charities Online Gateway.
  5. You’ll receive a confirmation once the claim has been successfully submitted.

📬 Note: HMRC typically processes claims within 10 working days but it can be longer.

Step 5: View Claim History

All submitted claims are recorded under the Past claims tab. You can:

  • See past claim summaries (success / failure status and reason)
  • See all donations within a claim

Troubleshooting Tips

  • Credentials not working? Double-check that all entries match what HMRC has on file, especially spacing and capitalisation.
  • Claim failed? Review any validation errors or mismatches in the “Past claims” log.
  • Donation missing? Ensure it hasn’t already been submitted or marked as “Won’t claim.”
